We co-develop our research projects and advocacy work with civil society, policymakers, scientists and the private sector to ensure international sustainability efforts are informed by emerging innovations and forge real-world solutions.

Your tasks

  • Guided by the Office Manager, general administrative tasks to support the smooth running of the office
  • Supporting with research, templates, draft policies and ideas to improve internal processes
  • Managing the inventory and keeping relevant overviews and systems up-to-date
  • Oversight of office supplies including placing orders and following up with suppliers
  • Managing general e-mail inboxes, answering the central office phone number, handling the mail and ordering courier services as needed
  • Travel management (from planning and booking to expense claims) for the Senior Management Team
  • Supporting the programmes in the preparation of business trips for larger groups of project team members
  • Reviewing travel expense claims for the wider team
  • Supporting our programme teams with the preparation and organisation of national/international events and workshops
  • Supporting the organisation/planning of small internal and external meetings

Your profile

  • Completed vocational training in a relevant field or completed university degree
  • Previous experience with office management / administrative tasks
  • Experience in travel and event planning, knowledge of the German Federal Travel Expenses Act (Bundesreisekostengesetz, BRKG) is a plus
  • Excellent oral and written communication skills in English (min. C1), very good German language skills (min. B2), other language skills are a plus (in particular French)
  • Very good MS Office skills
  • New challenges motivate you to look for solutions and implement them with energy and a hands-on mentality – you take initiative and have strong organizational skills
  • Efficient and structured way of working and an interest in learning about and taking on new tasks and topics
  • Highly service-oriented and enthusiastic to support our international research team in achieving the goals of our organisation

The position is to be filled as soon as possible and initially limited to one year as maternity leave cover. Preferred duty station is Berlin.
